Dismissal notes

Add a standing note to a student, such as who may or may not collect them, so duty staff see it at pickup.

A dismissal note is a standing message about a student that duty staff need to see at pickup. For example: "Only Mum or Grandma may collect. Dad is not authorised." or "Must be walked to the car. Gets anxious in crowds."

The note stays on the student until someone removes it. It isn't tied to one day. Parents don't see dismissal notes.

Adding, editing or removing a note (admins)

Notes are managed by staff with Dismissal Settings access:

  1. Go to Dismissal Settings → Default Student Schedule and open the student.

  2. Click Add Dismissal Note.

  3. Type the note. It can be up to 1,000 characters.

  4. Save. You'll see "Dismissal note saved". The note saves straight away, separately from the student's weekly transport plan.

To change it, open the same student and use the edit (pencil) icon on the note. To remove it, use the bin icon. Orah asks "Remove dismissal note?" and reminds you to only remove it if this restriction no longer applies.

Note: Dismissal notes can only be added or changed from Default Student Schedule, not from the live board.

Where duty staff see it

  • On the board: students with a note have a Dismissal note flag on their photo (on the staff phone app, a Note tag), so they stand out at a glance.

  • On the student's record, in a highlighted Dismissal note box. Tap Show more for longer notes.

  • When scanning a QR code: the note shows on the student's row in the pickup card. Then, before anyone can dismiss the student, Orah shows "Review dismissal notes — Read each note before dismissing." Staff read it and tap Got it (or Cancel). A note also stops Orah from confirming the adult's arrival automatically, so staff look first.

  • When dismissing a walker, cyclist or bus student (Self Dismissal or School managed transport) who has a note, Orah shows the Dismissal Note and staff tap Confirm before the student is marked Dismissed.

  • For Picked up students, the note is shown on the record that opens when you dismiss them, next to the list of people allowed to collect them.
