🧩 Overview
Late Arrival Passes help schools track when students arrive after the official start of the day.
With this setup, students can:
Select a Late Arrival option on the Kiosk
Automatically generate a Late Arrival pass
Have the pass auto-end at a set time, ensuring accurate reporting
Best suited for:
School Admins who manage Pass Types
Attendance / Reception Staff who rely on timely arrival data
Students checking in via the Kiosk
🧭 Step-by-Step Instructions
1. Create a New Pass
Tip: Use an existing template: You can also use the pre-built Late Arrival template and simply apply the configuration changes listed in this article. This allows you to customise the pass quickly to meet your school’s requirements. See Creating a Pass Type from a Template.
2. Configure Basic Pass Settings
Give the pass a name (e.g., Late Arrival to School).
3. Add an End Time Field in Form Builder
This gives the pass an end time value for the rule and the automation to work with. Without it, the auto-end settings in step 5 cannot be saved.
4. Set Up the Workflow (Kiosk Access Point)
To ensure students can create and activate this Late Arrival pass directly from the Kiosk:
Go to the Workflow section of the Pass.
Click Add Step → choose Checkpoint (Kiosk).
From the list of available kiosks, select the kiosk your school uses for late arrivals — typically Reception.
This ensures the pass appears only on the intended kiosk and prevents confusion on other devices.
This setup allows students to walk in, open the kiosk, and immediately select or activate the Late Arrival pass without staff intervention.
5. Set Up the Auto-End Rule
There are two settings on the Rules tab of the pass type, and you need both. One decides what the end time is, the other ends the pass when that time arrives.
a. Turn on the automation
Go to the Rules tab of the pass type.
Under Automations, turn on Automatic end pass at end time.
Choose whether the student is checked into a location when the pass ends, or ended without a location check-in.
b. Set the end time with an End time rule
Still on the Rules tab, scroll to Rules and enable End time rules.
Choose the condition — After, At, Before or Between — and set the time.
For a late arrival pass that should close shortly after check-in, set the rule so the pass ends a short time after it starts.
For a pass that should always finish at a fixed point in the day, use At and the time you want — for example At 4:00 PM.
Set Repeat rule to Everyday or Set days, and choose which roles the rule Applies to (Students, Staff, Parents, Kiosk/Checkpoint, Public App Link). For a kiosk late-arrival pass, make sure Kiosk/Checkpoint is included.
Use Hard Rule if the end time must not be bypassed.
Together these keep the pass open only as long as intended, creating a clean arrival record. Full reference: Pass Type - Rules.
6. Save and Publish
Review all settings.
Click Save.
Your Late Arrival pass is now active and ready for student kiosk use.
☝🏽 Note: the end time settings above apply to new passes only — passes already requested, scheduled or active continue to run on the settings they were created with. (The one pass-type setting that does reach existing passes is Automatically end the pass when the location changes or another pass is activated.)

Name it clearly: A simple, recognisable name helps students choose the correct option on the kiosk.
Keep the pass short: ending the pass soon after check-in is usually enough to create an accurate record without leaving passes open unnecessarily.
🔧 Troubleshooting
"End time required" when saving the auto-end setting:
The End Time field is not enabled in Form Builder — add it (step 3) and save, then set the automation and rule again.
Pass not auto-ending:
Confirm the End Time field exists in Form Builder.
Confirm Automatic end pass at end time is ON under Automations.
Check the End time rule includes the role that created the pass — a rule that does not apply to Kiosk/Checkpoint will not govern kiosk-created passes.
Remember these settings apply to new passes only — test with a freshly created pass.
Ensure the kiosk device’s time is correct.
Pass doesn’t show on the kiosk:
Check that the Workflow tab includes a Checkpoint (Kiosk) step for that kiosk (step 4).
Confirm the pass is assigned to the students using the kiosk.
