The Student Records page allows you to filter attendance data in two different ways: Student Filters and Record Filters.
Understanding the difference between these filters helps you view the right information and avoid missing important context.
This article explains when to use each filter type, what you’ll see, and common use cases.
Overview: Student Filters vs Record Filters
Filter type | What it shows | Best used for |
Student Filters | All records for students who match the criteria | Reviewing a student’s full day and attendance context |
Record Filters | Only records that match the criteria | Isolating specific attendance records |
What Are Student Filters?
Student filters return students who match your selected criteria, and then display all of their attendance records for the day, even if some of those records do not match the filter.
This means you keep the full context of the student’s day.
Example use case
If you filter for:
Roll code = Absent
You will see:
Students who were marked absent
All of their other attendance records for the day (before and after the absence)
This allows you to understand:
When during the day the absence occurred
Whether the absence happened before or after lunch
Whether a student had a pass covering part of the day
When to Use Student Filters
Student filters are recommended when you need context, such as:
Reviewing attendance patterns across the school day
Investigating where an absence occurred
Deciding whether a pass should be extended
Understanding how different records relate to each other
Student filters are most commonly used by attendance managers and administrators.
What Are Record Filters?
Record filters return only the attendance records that match your criteria.
You will see:
Only the matching records
Only the students associated with those records
No additional context from the rest of the day
When to Use Record Filters
Record filters are useful when you need a focused, record-level view, such as:
Auditing specific roll codes
Reviewing a narrow set of attendance events
Quickly finding all records that match a condition
Because context is removed, record filters are best for targeted checks, not investigations.
Filtering by Roll Code vs Reason
If your school uses reason codes, filtering by reason is often more precise than filtering by roll code.
Why are reason filters more specific
Roll codes group multiple situations together (for example, all passes)
Reason codes allow you to distinguish why a student was absent or excused
For example:
Filtering by roll code may show all students on a pass
Filtering by reason allows you to see only students absent due to illness, appointments, or parent-reported absences
When possible, using reason filters provides clearer results.
Available Filters by Type
Student Filters can include:
Roll codes
Reasons
SIS groups (for example, sports teams)
Student-level attributes
Record Filters include:
Roll codes
Reasons
Record-specific details only
Student-specific attributes are not available in record filters.
Persistent Filters
Filters on the Student Records page are persistent.
This means:
If you set filters today
The same filters will still be applied the next time you log in
This is especially helpful for staff who review the same attendance data daily.
Key Things to Remember
Student filters preserve context and show the full day
Record filters isolate records and remove context
Use student filters for investigations and decision-making
Use record filters for focused reviews and audits
Filters remain saved until you change them
