Daily Reconciliation

How to use the Daily Reconciliation workspace to manage absences, late arrivals, overdue rolls, and passes from a single screen.

Daily Reconciliation is a single workspace in Orah that brings together everything an attendance manager needs to close out the day β€” absences, late arrivals, overdue rolls, and passes β€” without switching between screens or rebuilding filters from scratch each morning.

It was built around the two moments that matter most: closing out records before automated parent notifications go out, and responding quickly when a parent calls mid-morning asking where their child is. Every piece of context you'd normally have to find elsewhere β€” a student's schedule, guardian contacts, active passes β€” is available from the same student card, without leaving the view.

For schools with government-funded or charter reporting obligations, Daily Reconciliation is also the right place to ensure day-level records are accurate and auditable before they're written back to your SIS.

How to access Daily Reconciliation

From the Homeboard, use the sidebar to navigate to Attendance under Location. You'll land directly on the Daily Reconciliation tab β€” it opens to today automatically, no configuration needed.

To review a previous day, use the date picker at the top of the screen, or click the arrows to step forward or backward one day at a time.


Overview: the four tabs

Across the top of the screen, four tabs each show a live count that updates as the day progresses:

  • Absent for the Day β€” students absent for one or more class periods

  • Late for the Day β€” students who arrived after the start of class

  • Overdue Rolls β€” class periods where a teacher has not yet submitted attendance

  • Passes β€” scheduled, active, and ended passes for the selected day


Tab 1: Absent for the Day

This is your primary reconciliation workspace. Every student flagged as absent for one or more periods appears here, and most of your daily close-out work β€” editing records, reaching guardians, updating codes in bulk β€” happens from this tab.

Filtering your list

Below the date picker, quick-filter sub-tabs let you triage at a glance:

  • All β€” every absent student for the day

  • Unexcused β€” absences without an approved reason assigned

  • Excused β€” absences that already have an approved reason

For more focused work, click the Filter button to open advanced options. You can narrow the student list by House, Tags, SIS Groups, Pass, Roll Code, Code Type, and Reason.

For example, filter by a Drama Club SIS group to see only those students, take bulk action, then clear filters to return to the full list. When you switch between tabs, filters clear automatically β€” you'll always start from a complete, unfiltered view in the new tab.

Viewing a student's contacts

Each student appears as a card in the list. To see their guardian and emergency contact details, click View Contacts below the student's photo. To expand contact details across every student on screen at once, toggle on View all contacts next to the search bar β€” useful when you're working through a long call list.

Viewing a student's schedule, classes, and passes

Click View Schedule on any student card to expand their full day β€” class periods, events, and active passes are all shown side by side. This gives you the context to decide whether an absence is explained by a pass, an event, or something that genuinely needs follow-up, without opening another screen.

From within the schedule, you can open or edit a pass directly (see Tab 4: Passes below for more on pass editing).

Editing a single attendance record

Inside a student's expanded schedule, click Edit on any class block. The available roll states appear β€” for example, Attended Class, Tardy, or Absent. Select the correct state, choose a reason, and save. To discard the edit, click anywhere outside the class block.

Bulk-updating attendance for multiple students

When you need to apply the same roll code and reason to multiple students or class periods at once:

  1. Select class blocks using the individual checkboxes, or use the dropdown arrow next to the top-of-list checkbox to select all at once.

  2. A blue bulk action banner appears at the bottom of the screen.

  3. Click Change Attendance to open the update window.

  4. Choose the roll code and reason, then click Save Attendance.

You can cancel at any point β€” clicking Cancel exits without making any changes. This is particularly useful when a whole cohort (a sports group, a year level, an SIS group) was on an approved excursion and all need the same reason code applied at once.

Creating a pass for a student

Select one or more students using their checkboxes and an Add Pass action bar appears at the bottom of the screen. You can create a pass for those students without leaving the reconciliation view.


Tab 2: Late for the Day

The Late for the Day tab surfaces students who arrived after the start of class. It supports the same quick filters (All / Unexcused / Excused) and advanced filters as the Absent tab, and each student card gives you the same access to contacts, schedule, and individual attendance editing.

Use this tab to confirm whether a late arrival has a valid reason on record, update the roll state if needed, or reach out to a guardian directly from the card β€” all without navigating away.


Tab 3: Overdue Rolls

An overdue roll is a class period where the teacher has not yet submitted attendance. Left unresolved, overdue rolls create gaps in your data β€” it's impossible to know whether a student is present or absent for those periods β€” and they can trigger inaccurate day-level statuses that lead to false parent notifications.

Viewing overdue rolls by teacher

The Overdue Rolls tab organises outstanding records by teacher. Click a teacher's name to expand their list and see exactly which class periods are missing.

Sending a consolidated reminder to teachers

Select one or more teachers using the checkboxes, then click Send Reminder. Each selected teacher receives a single email listing all of their outstanding rolls in one message β€” not a separate email per class period. A consolidated reminder is clearer, harder to miss, and avoids the inbox noise that causes individual reminders to get ignored.

☝️ Tip: Send reminders early in the day β€” before your parent notification window β€” to give teachers time to submit before gaps in their rolls affect day-level records.


Tab 4: Passes

The Passes tab gives you a complete view of student passes for the selected day β€” scheduled, active, and ended. It's designed for end-of-day clean-up: closing out passes that are still active when they shouldn't be, editing incorrect pass details, or removing passes that were created in error.

Viewing a student's pass schedule

Click View Schedule on any student's pass card to see all of their passes for the day in one view, including recurring or overlapping passes (for example, a student with both a daily gym pass and a late-arrival pass). To return to the list, click Hide Schedule.

Editing a pass

From within a student's schedule, click a pass to open the pass information window. To go directly into edit mode, click Edit Pass. Make any necessary changes and save.

Bulk pass actions

Use the dropdown arrow next to the top-of-list checkbox to select multiple passes, then choose a bulk action. Available actions depend on the state of the passes selected:

  • Scheduled passes β€” can be deleted

  • Active passes β€” can be ended or deleted

  • Ended passes β€” can be deleted

Bulk actions only apply to passes in the state you've selected. This means you can safely end all active passes without accidentally affecting scheduled or already-ended ones.


Tips for getting the most out of Daily Reconciliation

Run it before parent notifications fire

The most important time to be in Daily Reconciliation is the window between when attendance is taken and when your automated parent concern notifications go out. Resolving unexplained absences, correcting roll states, and clearing overdue rolls before notifications trigger means parents receive accurate information the first time β€” and your team avoids the follow-up calls that come from false alerts.

Work by cohort with advanced filters

If your school uses houses, year-level SIS groups, sports teams, or other cohort structures, filtering by these before working through the list makes bulk actions far more precise. Filter to a group, update their roll codes in one step, then clear and move to the next.

Use "View all contacts" when working through a call list

On high-volume mornings where you need to contact a long list of guardians, toggle on View all contacts next to the search bar. This expands contact details across every card at once β€” phone numbers and emails visible without clicking into each student individually.

Compliance and SIS write-back

If your school has government-funded or charter reporting obligations, it's important that day-level records are accurate before end-of-day records are written back to your SIS (Veracross, Blackbaud, FACTS, or equivalent). Daily Reconciliation is the correct place to resolve all outstanding flags so that synced records reflect verified attendance β€” not an intermediate or inaccurate state.
