NFC Tap Out / Tap Back In Pass Workflow (Student Self-Serve)

This guide explains how to configure a pass so students can activate it by scanning an NFC tile and optionally scan again to end the pass, creating a fast “tap out / tap back in” workflow for high-volume student movements.

Updated yesterday

🧩 Overview

Some schools need a fast and scalable way to manage student movements without staff approvals or complex forms. NFC tiles allow students to quickly start and end passes by scanning their device.

NFC tiles can be used to:

  • Check into a location (if student check-in is enabled)

  • Activate a pass using NFC scanning

This article focuses on the pass-based workflow, where students tap an NFC tile to leave and optionally tap again when they return.

Why it matters

  • Reduces staff workload

  • Speeds up student movement

  • Improves tracking of students who are out

  • Works well for high-volume movements like breaks or transitions

Applies to:

✅ Admins

✅ Pastoral Managers

✅ Staff managing Passes

🧭 Step-by-Step Instructions

Step 1 — Configure NFC Tap-Out Activation

  1. Go to Admin → Passes

  2. Select the pass you want to configure

  3. Open the Workflow section

Enable student activation:

  1. Under Who can immediately activate while creating this pass?

    • Enable Students (Student App)

    • Select the option that requires NFC verification

    • Select the appropriate NFC tile or location (for example, an exit tile)

What Students Do

  1. Open the Orah Student App

  2. Scan the NFC tile

  3. The pass activates automatically

Depending on configuration, students may be prompted to select a destination.

Step 2 — Require NFC Tap-Back-In to End the Pass

  1. Go to Admin → Passes

  2. Open the same pass

  3. Open the Workflow section

Configure pass ending:

  1. Under Who can end this pass?

    • Enable Students (Student App)

    • Enable NFC verification required

    • Select the return NFC tile or location

Result

Students:

  • Tap NFC to start the pass

  • Tap NFC again to end the pass

This creates a simple tap out / tap back in workflow.

💡 Best Practices / Tips

  • Place NFC tiles at clear entry and exit points.

  • Label tiles clearly (for example: Tap Here to Leave).

  • Test the workflow with a small group before rollout.

  • Use consistent tile locations so students know where to tap.

  • Restrict passes by student tags if only certain students should use the workflow.

FAQs

Can students forget to tap back in?

Yes. Staff can monitor active passes and follow up with students who have not returned.

Can NFC passes be limited to certain students?

Yes. Pass assignments or student tags can restrict which students can use a pass.

🔧 Troubleshooting

Students scan the NFC tile but the pass does not activate

Check that:

  • Students are allowed to activate the pass

  • NFC scanning is enabled

  • The correct NFC tile is selected

  • The pass is active

Students cannot end the pass

Check that:

  • Students are allowed to end the pass

  • NFC verification is enabled

  • The correct return tile is configured
