Overview

The Centralized Leave/Pass Page is a single-page dashboard that consolidates all student pass and leave requests into a single interface. It organizes the flow across four key tabs β€” Requests, Scheduled, Active, and Archive β€” allowing staff to efficiently manage approvals, cancellations, and tracking. This streamlined view enhances workflow and improves oversight.

We will walk through all the tabs separately. The flow of a leave/pass in Orah or any school follows the chronological order of Request > Scheduled > Active > Archived.

Note - the word Pass, Excuse, Leave and Absence means the same thing in Orah and can be renamed as per the verbiage used in your school.

Common Components

  • Updated UI for a better user experience

  • Supports Bulk actions

  • Can see the flow of pass once from one tab to another

  • Search bar for searching students, staff, and leave names

  • A Create Leave/Pass button on the go

  • Public Link pass button

  • Filters: Narrow down the list using specific criteria

  • Sorting: Tools to organize leave entries by various parameters


Requested Tab

  • Displays all the request passes/leaves received from parents and students

  • Data is sorted and grouped according to the requested time

  • 4 Sub-tabs

    • All Pending - groups all pending requests

    • My Endorsements - shows request pending your endrosement

    • Overdue Requests - shows all requests that are overdue

    • Archived Requests - shows requests that have been cancelled or declined

  • Actions like bulk approve/decline will be added to the request tab soon

  • This Request tab was derived from the older Requests page (Apr'25​)

Sorting Order for Request

  1. Select a sorting parameter such as:

    • Requested Time - when the leave was first requested

    • First Name - name of student

    • Last Name - name of student

    • Scheduled Start Time - sorted according to scheduled start time

    • Scheduled End Time - sorted according to scheduled end time

    • Location Name - sorted according to the location of the leave

    • Pass Name - sorted according to the name of the leave

  2. Choose the sorting order:

    • Most Recent - Oldest and vice versa for the requested time

    • Farthest - Closest and vice versa for the scheduled time

    • A - Z and vice versa - for student, location, and leave name

Bulk Actions for Request

  • At the moment, it's only delete. We will be adding bulk approved and bulk declined soon.

Export Request

Use the export button on the top right of the request tab under archive tab

Export will download all the records in CSV as per the filter and search results

Scheduled Tab

  • Displays all the passes/leaves that are scheduled

  • Includes all leaves scheduled by students, parents, or staff

  • Data is sorted and grouped according to the - schedule start time

  • Sub-tab for overdue scheduled absence for further classification

  • Bulk action to delete, cancel and activate absence is available

This Scheduled tab was derived from the older Student Schedule page (Apr'25​)

Sorting Order for Schedule

  1. Select a sorting parameter such as:

    • Created Time - when the leave was first created either by requests or directly scheduled or activated.

    • First Name - name of student

    • Last Name - name of student

    • Scheduled Start Time - sorted according to scheduled start time

    • Scheduled End Time - sorted according to scheduled end time

    • Location Name - sorted according to the location of the leave

    • Pass Name - sorted according to the name of the leave

  2. Choose the sorting order:

    • Most Recent - Oldest and vice versa for the created time

    • Farthest - Closest and vice versa for the scheduled time

    • A - Z and vice versa - for student, location, and leave name

Bulk Actions for Schedule

  • Click on the square box left to a particular pass

  • A blue color Bulk action bar will pop up at the bottom of the screen

  • Use Select All to tick all the passes visible on screen

  • Thier are 3 tasks that can be performed in bulk :

    • Delete - deleting a pass will remove the pass from the system without any trace, it will not be visible in the archive section also

    • Cancel - cancelling a pass just makes the pass unusable and moves it to the archive page

    • Activate - activating a scheduled pass would make it active with actual start time and shift to Active tab

These actions can be performed at an individual pass using the pass options on the right using the 3 dot elipsis.

Export Scheduled Passes

Use the export button on the top right of the scheduled tab under archive tab

Export will download all the records in CSV as per the filter and search results

  • Leave Status Destination

  • Displays all the passes/leaves that are active

  • Includes all passes/leaves - whether requested/scheduled/activated - by students, parents, or staff

  • Data is sorted and grouped according to the - actual start time

  • Sub-tab for overdue active absence for further classification

  • This Active tab was derived from the older Active page (Apr'25​)

  • Thier are 2 tasks that can be performed in bulk :

    • Delete - deleting a pass will remove the pass from the system without any trace, it will not be visible in the archive section either.

    • End - ending a pass adds an end time to the pass and shifts it to the Archive tab

  • Displays all the passes/leaves that have been cancelled or ended

  • Includes all passes/leaves - whether requested/scheduled/activated - by students, parents, or staff

  • Data is sorted and grouped according to the - archived time

  • Sub tabs further classify Ended & Cancelled absences

  • A sperate filter option for date range

  • This Archive tab is a new page

  1. Select a sorting parameter such as:

    • Created Time - when the leave was first created either by requests or directly scheduled or activated.

    • First Name - name of student

    • Last Name - name of student

    • Actual Start Time - when the leave was first activated

    • Scheduled Start Time - sorted according to scheduled start time

    • Scheduled End Time - sorted according to scheduled end time

    • Location Name - sorted according to the location of the leave

    • Pass Name - sorted according to the name of the leave

  2. Choose the sorting order:

Why does it matter for schools ?

  • Provides a unified view of all student movements (past, present, and upcoming).

  • Reduces administrative back-and-forth by making approvals, scheduling, and updates easier.

  • Enables real-time tracking, improving safety and compliance with duty-of-care policies.

  • Ensures consistent terminology across states/regions, making it adaptable for diverse schools.

How does it help staff ?

  • Bulk Actions allow staff to approve multiple requests in one click β€” saving time during busy hours like morning check-ins.

  • Search & filter tools make it fast to locate any student or pass.

  • Easy to follow a pass history is easier to follow as it goes through tabs

  • Performance gain: One tab = faster response time + fewer clicks = better UX.

  • Export to CSV feature simplifies reporting and auditing for schools.

  • UI improvements (like status-based grouping, tabbed flow, and inline actions) reduce training time and increase usability.
