Summary

In day school environments, it's common for students to leave campus each day and return the following morning. To ensure student location data stays accurate, Orah allows schools to automatically reset student locations—for example, updating them from “In Class” to “Home” after school ends.
This article explains how to set up and manage this feature.

Get access to the Location Automation

  • You will be able to view the location automation page if on the Admin Console > Staff > Additional Permission > under Location and Attendance > Location Settings is enabled

  • Ask your admin to assign Location Settings access under additional permissions to the individual staff (or in bulk using Roles)

  • Staff users with Admin access will have this location automation setting by default

🧭 Navigation : Admin Console > Staff > select a staff or user role > Additional Permisison > under Product Access section > Location and Attendance > Location > Location Settings

Location Automation ⚙️

Once you have the required access, you will be able to view the Location Automation

1. Enable Automation Toggle

Enable the toggle for 'Automatically reset students’ location at a specific time' to activate the automation

2. Select Students

  • All Students or

  • Apply filters to select particular set of students, filter by :

    • SIS Groups

    • Location

    • Open Passes/Excuses

    • House

    • House

    • Tag

    • Event Pass

    • Use AND/OR logic and IS/IS NOT conditions to get to a specified set of students

3. Choose Destination

Select the location you want the above students to change to :

  • Option to select student’s default location - learn more here

  • Or select any location from your list

4. Set Time

  • Set a specific time of day for the automation

  • Choose which days of the week it should run.

In the above image - All students will be set to Off Campus from every weekday at 05:00 pm.

  • This automation overrides pass requirements for a particular location
    (eg. a pass required to check in certain locations or in-transit restrictions)

  • You can only create one automation per school

  • Automation for resetting location does not require ending passes, but the two can work in tandem.

  • In the student’s location record, you'll see:
    → Created automatically

  • In the pass history, if passes are ended as part of the automation:
    → Ended automatically

Use Case Example

Let’s say day school ends at 4:00 PM. You can schedule the automation to:

  • Apply filters to select day school students + without active passes

  • Select location as “Off Campus/Home”

  • Select time at 4:15 PM every weekday.

FAQs

Q: Can I create multiple automations?
A: Not in the current version. A single automation should meet the majority of needs.

Q: Will this affect students with active passes?
A: No. You can configure the filter to ignore students with open or event passes.
