Administration Records

This article explains how to view, edit, and audit medication administration records in the Dispensary.

The Dispensary view displays a chronological log of all medication administrations. Each row represents a medication event.


Dispensary table columns

Viewing an administration record

Click any row to open the Administration Record modal.

The modal displays:

  • student information

  • dose

  • administration time

  • staff member who recorded the event

  • notes


Editing administration records

Staff with appropriate permissions can edit records.

Editable fields include:

  • administration time

  • status

  • reason

  • notes


Not administered reasons

When a dose is marked Not Administered, staff must select a reason.

Available options include:

  • Student Refused

  • Dose Returned

  • Dose Lost

  • Dose Damaged

  • Skipped

  • Administered by Mistake

  • Other


Returning stock to inventory

When changing a record to Not Administered, staff must select whether stock should be returned to inventory.

If the reason is Dose Lost or Dose Damaged, stock is not restored.


Administration record history

Each administration record includes a history log.

The history shows:

  • who made a change

  • what action occurred

  • when it happened

Example:

This log ensures a complete audit trail for medication activity.
