Taking Attendance at an Event

How to take roll checks at school events and trips, with automatic class excusal for confirmed students.

Staff can take attendance for events and trips directly from the event detail page — on Staff Web Desktop and the Mobile App. Event roll checks are kept entirely separate from academic class records, so marking a student absent at an event won't affect their class standing or academic absence count.

Starting a Roll Check

  1. Open the event from the Events page.

  2. Tap New Roll Check.

  3. All enrolled students appear as Unmarked — mark each as Present, Late, or Absent as you go. The live status counter updates in real time.

  4. Use search or the status filter (e.g. filter to Unmarked) to quickly find students not yet accounted for.

  5. Tap Exit → Save & Exit at any point to pause the roll and resume later.

  6. When everyone has been accounted for, tap Submit to complete the roll.

Viewing Past Roll Checks

Open the event and tap the Past Roll Checks tab. Each row shows the date, time, and attendance summary. Tap View for the full detail. You can search by student name or sort the list by first name.

Automatic Class Excusal

Once a student is confirmed present at the event, Orah automatically shows them as Excused (Event Pass) on any overlapping class roll. Absence notifications for that period are also suppressed — no manual steps needed.

Students who are registered for the event but not yet confirmed present will continue to show their normal roll status on any overlapping class.

Frequently Asked Questions

Will this affect a student's academic attendance record?

No. Event attendance is tracked entirely separately from academic records. Marking a student absent at an event has no effect on their class standing or academic absence count.

Why is a student showing as "Excused (Event Pass)" on a class roll?

This means the student has been confirmed present at an event that overlaps with that class. Orah applies the excusal automatically so staff don't need to manually reconcile event days with class rolls.

What if a student is registered for the event but hasn't been marked present yet?

They will show their normal roll status on any overlapping class. The automatic excusal only applies once a student has been confirmed present in the event roll check.

Can I pause a roll check and come back to it?

Yes. Tap Exit → Save & Exit at any point to save your progress. The roll stays open for you to resume later. Only tap Submit when you're ready to finalise it.

Where can I find completed roll checks?

All completed rolls are available under the Past Roll Checks tab on the event. Each entry includes the date, time, and an attendance summary — tap View for the full breakdown.

Does this work on mobile?

Yes. The event roll check is available on both Staff Web Desktop and the Orah Mobile App.
