What's New in Events

A summary of the latest Events updates in Orah: editing events, event waitlists, and taking attendance at events.

Orah's Events feature has received a series of updates. Here's everything that's new.

Editing Events

Staff with the right permissions can now create and edit event instances directly — without needing admin access. From Activities (Coordinate) > Events, click the Event Settings icon in the top right to see all editable events. Use the three-dot menu next to any event to edit it, or click + Add New Event to create a new one.

Admins can turn this on under Staff > Access > Activities (Coordinate) > Event Settings.

Taking Attendance at Events

Staff can now take roll checks for events and trips directly from the event detail page — on both Staff Web Desktop and the Mobile App.

Automatic class excusal: Once a student is confirmed present at an event, Orah automatically shows them as Excused (Event Pass) on any overlapping class roll, and absence notifications for that period are suppressed. No manual steps, no reconciling event days with class rolls — it just happens.

Event attendance is kept entirely separate from academic records. Marking a student absent at an event has no effect on their class standing or academic absence count.

To take attendance:

  1. Open the event from the Events page.

  2. Tap New Roll Check.

  3. Mark each enrolled student as Present, Late, or Absent. The live counter updates in real time.

  4. Use search or status filters to find unmarked students quickly.

  5. Tap Exit → Save & Exit to pause and resume later, or Submit when complete.

Viewing past roll checks: Open the event and tap the Past Roll Checks tab. Each row shows the date, time, and attendance summary — tap View for full detail.

Event Waitlist

Capacity-limited events can now have a waitlist. When an event fills up, students are queued instead of turned away — and the system automatically moves them in when a spot opens.

Important: Only students who have been invited to the event can be added to its waitlist.

For staff — managing the waitlist:

Inside any capacity-limited event, open the Students tab and select the Waitlist sub-tab. This shows every queued student in ranked order — their position, time added, name, and current status. You can add or remove students directly, and reorder the waitlist at any time to apply school priorities. When a confirmed enrolment is cancelled, the top waitlisted student is automatically promoted — no action required.

Waitlisted passes are clearly labelled in the Passes and Events pages. Standard pass actions (approve, schedule, decline) remain available throughout.

For students and parents — joining the waitlist:

When an event is at capacity, the Student/Families App shows an Event Full — Join Waitlist button. After joining, students can see their queue position at any time, leave if plans change, and receive a notification the moment a spot opens.
