How to use and manage the waitlist for capacity-limited events in Orah

When a capacity-limited event fills up, Orah automatically enables a waitlist — so students aren't turned away and staff stay in control of who gets a spot.

For staff — managing the waitlist

Inside any capacity-limited event, open the Students tab and select the Waitlist sub-tab. This shows every queued student in ranked order, including their position, the time they were added, and their current status.

You can add students directly from the invited list or remove them when school priorities need to be applied. When a confirmed enrolment is cancelled or removed, the student at the top of the waitlist is automatically promoted and confirmed — no action required from you.

To adjust priorities, reorder the waitlist at any time. The system will continue to auto-promote from the updated order.

Waitlisted passes are clearly labelled in the Passes and Events pages so you can identify them at a glance. Standard pass actions — approve, schedule, and decline — remain available throughout the waitlist journey.

Note: Only students who have been invited to the event can be added to its waitlist.

For students and parents — joining the waitlist

When an event is at capacity, the Student/Families App shows an Event Full — Join Waitlist button. Tap it to request a pass and join the queue.

After joining:

  • Your position is shown on the event detail page — check back any time.

  • You can leave the waitlist if plans change, and you'll see a confirmation when you do.

  • When a spot opens, you'll receive a notification confirming your enrolment.
