Who this is for: Administrators who manage staff roles
Use this reference when a staff member cannot see a menu item, cannot take an action, or hits an error message that does not mention permissions. Each row tells you what the permission controls and what it looks like when it is missing.
To change any of these, go to Admin Console > Staff > Roles, open the role, and update its permissions.
Permission reference
Permission | What it lets a staff member do | Where a missing permission shows up |
Roll Check (Supervise) | Take a class roll and cancel a class. These two abilities cannot be separated — a staff member who can take a roll can also cancel the class. Cancelling a class does not notify administrators; it is recorded in the audit log only. | The staff member cannot start or mark a roll. If you need someone to mark rolls but not cancel classes, that is not currently possible — review the audit log instead. |
Edit roll record | Change a roll that has already been submitted. | Saving an edited roll fails with "failed to save roll check - roll record is excused". This message does not mention permissions, but the missing permission is the cause. |
End and Activate Passes | End or activate a pass. | The action is unavailable. Note the override: even with this permission on, a staff user sees "action performed on pass is not permitted for a staff user" if the pass type's workflow names a specific approver. The workflow wins over the role permission — change the workflow, not the role. |
Endorse and approve pass requests | Endorse and approve pass requests. It is also required to see the Late and On Pass items in the Homeboard summary. | The Homeboard summary count still shows, but the Late and On Pass entries underneath it do not appear. |
Create posts | Create an Activity Feed post. | The post option is missing. This permission is not sufficient on its own — the staff member must also be a member of the House they are posting to, not merely able to filter to it. Add them to the House as well. |
Access other staff schedules | View and work with another teacher's schedule. Substitute teachers need this to take attendance for someone else, alongside the Supervise marking permission. | A substitute sees only their own classes and cannot open the class they are covering. |
Communication / broadcasts | Send and manage communication broadcasts. This permission is what makes the Communication menu item appear for a staff member. | The Communication menu item does not appear at all in the left-hand navigation. Enable the Communication permission on the role and confirm the role has product access to Communication. |
A menu item or feature is missing for a staff member
Work through these in order — the first four resolve almost every case.
1. Check the role's permissions. Go to Admin Console > Staff > Roles, open the staff member's role, and confirm the relevant permission from the table above is enabled.
2. Check product access. A permission can be on while the role has no access to the product that contains the feature. Expand each product on the role and confirm access is granted.
3. Check house, group and tag scope. Many features only show data the staff member is assigned to. Confirm they are a member of the relevant house or group, not just able to filter to it.
4. Check whether the feature exists in the app they are using. Several features are web-only and do not appear in the Checkpoint app. Ask the staff member to try the same action in the web app before assuming it is a permissions problem.
5. Contact support. If all four check out and the feature is still missing, start a conversation with the Orah team using the blue chat icon at the bottom right of this page. Include the staff member's name, their role name, the feature or menu item they cannot see, and the app they are using.
A permission that isn't listed here
If the permission you are looking at is not in the table, contact the Orah Support team and we will confirm what it controls. This reference is added to as cases come in, so it grows over time.
