How to send notifications via automated/manual workflows

Once the workflow trigger has been set up in the previous step, schools can now send notifications via different mediums - email, SMS, or push to different set users - staff, contacts, and students separately or all at once.

πŸ“£ A powerful instance of this would be to communicate with parents in case a student is absent. This could help curb and reduce chronic absenteeism. With automated roll-triggered workflow, parents can now receive customized email or text messages in case a student is marked absent.


Selecting this action (Send notifications) would require at least one of the users to be selected from Staff, Students, Parents/Contacts. You can also select all the users to send notifications simultaneously all at once. Don't worry we got you covered to enter different input message for all 3 type of user.


Staff

  • Select the staff type :

    • Initiator - allowed only for 1st workflow type initiated by a staff member

    • Assigned by initiator - same as initiator

    • Specific Staff - allowed for all 5 types of workflow

  • Select the medium type you want the staff to be notified via :

    • Email

    • Push

  • Input message

    • Enter the message that will be received by the staff

An email triggered by workflow received by staff will look like below :
email will be from no-reply@orah.com

Related Student

  • Select the medium type you want the staff to be notified via :

    • Email

    • SMS

  • Input message

    • Enter the message that will be received by the related student

An email triggered by workflow received by a related student will look like below :
email will be from no-reply@orah.com

An SMS triggered by workflow received by a related student will look like below :

<student name> <input message>

Contacts of related students

  • Select the contact type :

    • All Contact(s) - send email/SMS to all the contacts related to that student

    • Specific Contact(s) [will be selected by default]

    • Select the medium type you want the staff to be notified via :

      • Email

      • SMS

    • Input message

      • Enter the message that will be received by the contacts of related students

An email triggered by workflow received by a contact will look like below :
email will be from no-reply@orah.com

Subject - <student name> - <workflow name>
Body - <workflow name> <student name> <input message>

An SMS triggered by workflow received by a related contact will look like below :

<student name> - <workflow name > - <input message>
