Assign student multiple pass for both day and boarding school

Overview

This new feature enables schools to hold and manage multiple active passes simultaneously, which is particularly useful for schools managing both day and boarding environments. This change ensures that a student’s location can change without automatically terminating an active pass. Schools will no longer need to worry about passes being unintentionally overridden when a student transitions between locations, such as moving from a day school pass (e.g. exam leave) to a boarding school pass (e.g. after-school leave).

Key Features

  • Multiple Active Passes: A student can now have multiple active passes, allowing for more flexibility in managing their schedule.

  • End Pass on Location Change : By default passes can automatically end when a student's location changes, but now we can disable a setting that allows location changes without terminating the pass.

  • Seamless Transition: Students can now activate new passes without having to end existing ones, preventing pass overlaps that were previously an issue.

  • Pass Actions via NFC: Multiple pass function will work with NFC checking and checkouts also with an exception*.


Activating Multiple Passes

To assign multiple passes, you would need to disable a setting inside an individual pass you want to be activated simultaneously.

🧭 Navigate to the Admin Console > Passes/Excises > Select a Pass > RULES


Under Automations find a new setting 'Automatic end pass when location changes' Toggle OFF to allow students to have multiple passes. Once disabled this pass won't end when a location is changed by student themself or by any staff member.

If your school wants all its pass types to support multiple active passes, adjustments would need to be made to the settings of each individual pass type.

☝🏽 Note - Once the setting is disabled, take caution as the same pass can be applied multiple times by mistake by more than one staff leading to confusion.


Changes in the User Interface (UI)

Homeboard

  • Student tiles will retain the original design for a single active pass but will now also show multiple passes when applicable

  • You can click on the Multiple Pass which will show up all the Active Passes

  • Clicking will callout Pass Initials, Location, Start and End Date/Time

  • You can then click on any pass to open the modal displaying the pass details as usual

Student Profile – Active Passes

  • New Tab: the Student Profile will now display multiple active passes on a new tab called 'Active Pass/Excuse'

  • The “Active Pass” tab will show a list of all active passes

Student Schedule

  • UI Adjustments: The schedule now accommodates multiple active passes, including overlapping ones

  • The interface has been updated to display scheduled and active passes more clearly

An unlikely scenario below - has 4 pass (1 past, 2 active 1 scheduled)

-Black - past - started at 07:17 ended at 07:19

-Blue - active - started at 7:19 and still active without an end time

-Yellow - active - started at 07:21 and scheduling ending at 10:00

-Transparent Red - is a scheduled pass starting 07:40


Parent & Student Actions

  • Parent Action:

    Before - Parents cannot terminate a pass, nor can they activate a new pass if the student already holds an active one. If a parent tries to activate a pass while another is active, they will encounter an “Already activated a pass” error.

    After - However, with the new multi-pass feature, if a new pass does not require terminating an existing pass, activation is allowed.

  • Student Action:

    Before - Students will encounter an error ("Your current active pass is not allowed to be ended through the Student App") if they try to activate a new pass while another is active and termination is restricted.

    After - However, like parents, students will be able to activate a new pass without terminating the old one if this is allowed by the settings.


NFC Functionality

Students can continue performing actions such as check-in, check-out, and location updates using NFC technology. However, there is a limitation when ending passes via NFC:

  • One Active Pass Rule: *A student can only end a pass using NFC if they have one active pass. If multiple active passes exist, this action will not be supported via NFC.


This new multi-pass feature enhances flexibility for schools managing both day and boarding environments. By allowing multiple active passes and supporting location changes without ending passes, we hope to reduce the administrative burden.
