Summary

Orah Attendance Alerts have a separate page where all alerts can be actioned on. The Attendance Concerns (Alerts) Page introduces a streamlined system for managing attendance alerts, now actionable and centralized in a new 'Attendance Concern' section. Staff can update statuses (Concern Opened, Action Needed, Concern Closed), comment, tag colleagues, and track history for better collaboration. Filters, sorting, and search options enhance navigation while email notifications keep teams informed of status changes.

How to set up Concern Status ?

Attendance alerts have a new setting at the end that allows schools to set the concern status. By default, all the concerns are set to 'Concern Opened'.

☝🏽Note: To streamline alerts and concerns, all past and future alerts will be categorised as β€˜Concern Opened’ on the new page by default.

Attendance Concern Entries

Each entry contains:

  • On Left

    • Student Name & Initials – Displays the student's identity.

    • Concern Type – Depending on the alert setting, it could be any of the roll code or types like Late, Absent, Present or Excused absent.

    • Concern Frequency – Number of times the issue has occurred.

  • On Right

    • Concern Status – Labeled as either of the 3 concern status: Concern Opened, Action Needed, or Concern Closed.

    • Timestamp – Indicates when the concern was recorded.

What is Concern Status ?

There are 3 statuses to choose from :

Concerns in Total is just the total number of attendance concerns recorded.

  • Concern Opened – The number of concerns that are still open.

  • Action Needed – The number of concerns requiring action.

  • Concern Closed – The number of concerns that have been resolved.

Changing Concern Status

Each attendance concern entry can be clicked on to reveal more details
> Click on any entry you want to change

> A modal will open

> Click on the drop-down on the top right corner

> All the 3 concern statuses would be listed

> Choose and click on the desired status for the concern

> The concern status will be changed

Note - changing the status of the concern would alert the concern staff via email.


Comments & History

Comments

> You can also add comments and share notes with other staff members

> Use '@' to notify specific staff member

> The staff member will receive an email with a link
> If the user has the correct permission, then that link will direct the user to access the specific concern

Note - comments cannot be edited or deleted.

History

History will capture the status of the concern changes
>Which staff made the change
>Which status was it changed from
>Which status was it changed to
>When was the status changed

Filters and Sorting

Time Range Selector

All of the data within the attendance concern page can be ranged by :

  • Today

  • Last 7 days

  • Last 30 days

  • Last 12 weeks

  • Last 12 months

  • Custom Date

This gives staff users more control over the time period.

Sorting & Search Options

Sorting Option
-data can be sorted from ascending to descending and vice-versa by :

  • Created time

  • Student First Name

  • Student Last Name

Search Bar
–search bar can be used to filter and find specific students' data

Conclusion

Managing attendance concerns efficiently ensures accurate tracking and timely intervention. To review concerns, navigate to the Attendance Concerns tab and use the search or filter options to locate specific issues. Assess the concern type and frequency to determine its severity. If a concern has been addressed, update records or add notes if necessary, then mark it as Closed to resolve it. For unresolved concerns, particularly those marked Action Needed, follow up with the student or guardian. If attendance issues persist, consider escalating the concern for further intervention.

The Attendance Concerns dashboard provides a structured way to monitor and address attendance issues efficiently. Regularly reviewing and managing concerns helps ensure student accountability and attendance tracking accuracy.
