Medication Inventory

This article explains how to view medication inventory in Orah, monitor stock levels across houses, and review the transaction history for OTC medications.

🧩 Overview

The Medication Inventory view provides a school-wide overview of all Over-the-Counter (OTC) medication stock.

Staff use this page to:

  • monitor medication availability

  • identify medications that are low or out of stock

  • track inventory activity across houses

  • review stock transaction history

⚠️ Inventory tracking is available only for OTC medications.

Prescription-Only Medicines (POM) are not shown in the inventory table.

  1. Open the left navigation menu

  2. Select Student Care

  3. Click Medication

  4. Open the Inventory tab


Inventory table overview

The Inventory table displays all OTC medications tracked by the school.

Each row represents a medication and shows stock quantities across houses.


Inventory table columns

Column

Description

Medication

Displays the medication in the format: Medication Name – Manufacturer – Strength – Unit Type

Type

Always OTC

House columns

Stock quantity held by each house

Total School Stock

Total stock across all houses

Example medication display:

Paracetamol – MedCo – 500 mg – Tablet


House stock columns

Each house column shows the current stock level for that medication in that location.

Possible values include:

Meaning

Number

Stock level for that house

–

Stock tracking has not been enabled for that house

Staff only see houses they have permission to access.


Stock status indicators

The system automatically displays stock status indicators.

Status

Condition

Out of Stock

Current stock is 0

Low Stock

Stock is at or below the configured threshold

No indicator

Stock is above the threshold

⚠️ If stock is 0, the system shows Out of Stock even though it technically meets the Low Stock condition.

Viewing inventory history

To view the stock history for a medication:

  1. Open the Inventory table

  2. Click the medication row

The Inventory modal opens and displays the full transaction history.


Transaction history

The Inventory modal shows all stock transactions.

Each entry may represent:

  • stock additions

  • medication administrations

  • stock adjustments

Student who received the medication

Recorded by

Staff member who recorded the transaction

Date and time of the event

System rules

The following rules are enforced automatically.

OTC-only inventory

Inventory tracking applies only to OTC medications.

Attempting to track inventory for POM medications triggers a validation error.


Stock cannot go negative

The system prevents stock levels from dropping below zero.

If an action would cause negative stock, the operation is rejected.


Lazy stock record creation

House stock records are created only when staff first adjust stock for that house.
