Veracross Extended Care Groups — Syncing into Orah

How to enable and use Veracross Extended Care sync in Orah

Overview

If your school uses Veracross Extended Care — for morning drop-off, after-school programs, or similar offerings — those programs can now sync directly into Orah.

Previously, Orah's Veracross integration covered academic classes, advisories, athletics, and programs. Extended Care was not included. With this update, Orah pulls Extended Care classes, student registrations, and meeting times from Veracross and creates them as standard groups in Orah.

Staff take attendance for Extended Care sessions the same way as any other group — same interface, no new workflow. Where schedules are available, sessions also appear in the My Schedule view.


Before you start

Extended Care sync requires the following to be in place:

  • Your school must be on the Veracross integration

  • Your IT admin must have access to your Veracross portal to enable the required API scopes


Step 1 — Enable the required scopes in Veracross

Your IT admin will need to log into your Veracross portal and enable the following three scopes:

  • extended_care.classes:list

  • extended_care.registrations:list

  • extended_care.classes.meeting_times:list

If you are unsure where to find these, contact your Veracross account manager or refer to your Veracross portal documentation.


Step 2 — Add Extended Care as a group type in Orah

Once the scopes are enabled:

  1. Log into Orah as an admin

  2. Click on the admin console and then go to Data Integration

  3. Find the Veracross integration, select groups

  4. Add Extended Care as a group type

  5. Trigger a sync


Step 3 — Confirm your groups have synced

After the sync completes, your Extended Care groups will appear in:

Admin Console → Groups → Extended Care tab

From here you can view all synced groups, check rosters, and confirm meeting times have pulled through correctly.


Taking attendance for Extended Care sessions

There is no new workflow for staff. Extended Care groups appear in the same group list as academic classes and other programs. Staff open Orah, find the relevant Extended Care group, and take roll exactly as they would for any other session.

If schedules are configured in Veracross, Extended Care sessions will also appear in the My Schedule view for assigned staff.


Sync frequency

Extended Care data syncs on the same 24-hour cycle as all other Veracross data. Any changes made in Veracross — updated rosters, new programs, changed meeting times — will reflect in Orah after the next nightly sync.


Troubleshooting

Extended Care groups are not appearing after the sync: Check that all three API scopes have been enabled in your Veracross portal. If even one scope is missing, the sync will not pull Extended Care data. Once scopes are confirmed, trigger a manual sync from Integration Settings.

Rosters look incomplete: Roster data depends on student registrations being active in Veracross. Confirm that students are correctly registered to Extended Care classes in your Veracross portal.

Sessions are not showing in My Schedule: My Schedule only displays sessions where meeting times are configured in Veracross. Check that meeting times are set up for your Extended Care classes in the Veracross portal.
