Summary

Attendance Insights has a total of 11 widgets, this article will lay out the functions of each individual widget. This Attendance Insights Dashboard offers school administrators and educators a variety of tools to monitor and analyze attendance at both a macro (overall trends) and micro (individual student) level.

Each widget helps identify attendance patterns, track specific students, and provide insights for strategic intervention or policy adjustments. The insights page view is unique to each staff user hence it is usual to see different data from your peers.

Attendance Rate Overview

  • Shows overall attendance percentage at high level using pie chart

  • For 4 different time ranges - Today, 7 Days, 30 Days, 12 Months
    ​

  • Use: Quick glance of the moving attendance trend spread across different period


Attendance Rate

  • Displays a trendline chart tracking attendance percentage over the selected period

  • Hover over the line dot to show more information

  • Attendance Target/KPI can added to have a visual mark on the attendance rate

  • Adjust your school's target/KPI by using the 3 dot ellipse option on top-right corner

  • Use: This visual helps track attendance fluctuations over time, with the ability to monitor whether attendance rates are improving or declining.


Roll Completion Rate πŸ†•

  • Displays the progress bar of roll call of classes - % completed v/s incomplete

  • Total number of rolls in number is displayed under the progress bar

  • Not-started and In-progress rolls both are counted as incomplete rolls

  • Both staff and admin users can access this widget

  • This widget shows data with respect to the staff, not student

  • Use: It helps to monitor if all the classes have their roll call taken, which is important to get the most accurate attendance for the whole school. Even a 1 % incompletion rate can help identify missing roll records


Staff With Most Incomplete Rolls πŸ†•

  • Displays the list of staff members with incompleted roll calls

  • List is sorted by descending order, showing the most incomplete rolls for staff first

  • This list is clickable to open up a modal that displays rolls with incompleted classes

  • Use: A staff member can have a quick peek to identify which class they have not taken attendance for and even help their peer with it. An Admin can monitor on a school-wide level and reach out to staff in real-time which class needs a roll-call


Attendance Heatmap

  • Visualizes attendance patterns across different classes over the selected period

  • Same grid chart can be used to visualize level year grouping using the dropdown

  • Hovering and clicking over each cell would provide details of the class

  • Scroll to view more classes below

  • A heatmap using colors ranging from blue to yellow and red, indicating classes with high to low rates of attendance

  • Grey means no data i.e.

    • the roll call for that class was not taken or

    • there was no class scheduled for that period

  • Use: Allows educators and administrators to spot problem areas, i.e., classes where students frequently have low attendance.


Most Unexcused Absences

  • Lists the top 10 students of unexcused absences over a selected period

  • Scroll to view rest of the students

  • The list has been broken down by Classes and Days missed :

    • Classes - counts the no. of unexcused absences for individual classes

    • Days - missing all classes in a day will mark the student absent for whole Day

    • Clicking over each cell would provide details of the class

    • You can even export (in CSV format) the unexcused absences list in details ​

  • Use: Administrators can identify which students need interventions due to their high unexcused absence rates.


Most Tardy Students

  • Lists the top 10 students of tardy over a selected period

  • Scroll to view rest of the students

  • Clicking over each cell would provide details of the class

  • Details of the classes can be exported (in CSV format) from the same modal

  • Use: Highlights students frequently arriving late, allowing the school to investigate and potentially address underlying issues.


Most Excused Absences

  • Lists the top 10 students of excused absences over a selected period

  • Scroll to view rest of the students

  • The list has been broken down by Classes and Days excused :

    • Classes - counts the no. of excused absences for individual classes

    • Days - missing all classes in a day will mark the student absent for whole Day

    • Clicking over each cell would provide details of the class

    • You can even export (in CSV format) the excused absences list in details

  • Use: Allows educators to differentiate between valid and unexcused absences and identify students with legitimate reasons for missing class.


Attendance Trends

  • Visualizes the trends in attendance, showing breakdowns of excused and unexcused absences over the select period range

  • A bar graph could be for day/week/month, showing the proportion of present, absent (excused), and absent (unexcused) students.

  • Use: This widget helps administrators see trends over time to detect whether attendance is improving, stable, or declining.


Attendance by Excuse Type

  • Breaks down the types of excuses students have used for their absences over the select period range

  • A pie chart indicating categories created by schools like

  • Hover over pie chart to find the breakup

  • Use: Helps administrators understand the reasons students are missing classes, which can inform policy decisions or individual student plans.


Students Attendance Table

  • Provides a detailed table of students with their attendance rates, and a breakdown of absences.

  • Data for each student allows for detailed tracking with available columns :

    • Attendance Rate (%)

    • Unexcused Absent Classes

    • Unexcused Absent Days

    • Excused Absent Classes

    • Excused Absent Days

    • Late

    • Attendance Trends

  • Sort data in descending or ascending manner by following headers:

    • Attendance Rate

    • Unexcused Absent Classes

    • Unexcused Absent Days

    • Excused Absent Classes

    • Excused Absent Days

    • Late

    • Student First/Last Name

  • Search for individual students from the full list

  • Filter with equals, more/less than, range from, is empty, is not empty options by :

    • Attendance Rate

    • Unexcused Absence Classes

    • Unexcused Absence Days

    • Excused Absence Classes

    • Excused Absence Days

    • Late Count

  • Export

    • data in one click

    • only export for student(s) search for

    • only export for filter-applied records

  • Use: A comprehensive tool to see both individual and group attendance performance in a tabular format. The data can be filtered or exported for reporting or follow-up actions.


Time Range

All of the data within the attendance dashboard can be ranged by :

  • Today

  • Last 7 days

  • Last 30 days

  • Last 12 weeks

  • Last 12 months

  • Custom Date

This gives staff users more control over the time period


All My Students & Filters

  • Attendance Insights only shows data of students assigned to the staff member πŸ†•

  • 'All My Students' filter will be based on platform student assignments, providing unique view for each user. Ensuring that educators only access insights relevant to their specific students.

  • Admins will need to grant access to view all students from the admin console.
    ​

  • All the data on the attendance insights page can be filtered by 3 options :

    • House

    • Tags

    • SIS Groups / Classes

  • If multiple filters are applied it will use AND logic to filter data

  • You can even save the filter to a new view to only have a view of your students


Renaming Widgets

  • All the widgets can be renamed by clicking on the 3-dot option on top-right corner of each widget
