Customize transport options

Add more detail to your leave records and keep track of how students are traveling

In Manage Leave you can 'Add New Leave Type' or edit an existing Leave. For this example, we will choose to edit.

Now within the 'Form Builder' (Section 3) click 'Edit', next to Departure and/or Return Transport.

Note: make sure the transport options are set at optional or required to see the 'Edit' link.

Then, toggle on the option(s) you want to display on the form, and begin editing. You are able to create up to 10 custom fields for each transport type, and choose whether they are required or optional. In this example we will create three fields to collect additional detail under the 'Train' transport option.

Note: make sure to also customize the 'Return Transport' area to match the departure section if you would like the fields to be the same for both legs of the journey.

If you would like to preset which Transport students will be using you can do that by clicking where it says 'No preset departure transport'. This will force the requester to use the transport type you choose.


Now, when the leave is scheduled (by staff) or requested (by students and parents), the extra fields will be included.

Creating shared transport options (Transport Settings)

As of September 2026, you can also create your own named transport options — like "Bus to Airport" or a specific shuttle route — once, in a central place, and reuse them across every pass type instead of configuring the fields above on each pass type individually.

Go to Pass Settings → Transport Settings to add, edit, deactivate, or delete transport options, each with its own name (up to 30 characters) and optional extra detail fields (like Airline or Flight Number). When staff pick a transport option while creating a pass, any extra detail fields already set up for it fill in automatically — staff can still tweak those fields for that one pass without changing the school-wide settings. Changes here only apply to new passes going forward; a pass that's already scheduled is never affected. You can then filter and export your passes list by any transport type, including your custom ones, from the Passes list (Filters → Departure/Return Transport).
