Emergency Roll: Fixing Staff vs Student Misclassification and Accessing Roll History

How to identify and resolve staff vs student misclassification on emergency rolls, verify your participant list, and access completed roll history.

Overview

Emergency rolls in Orah classify every person in the system as either a student or a staff member to ensure accurate accountability during drills and real emergencies. Occasionally a person may appear in the wrong list, or a staff member may not appear at all. This article explains the common causes and how to resolve them.

How Emergency Roll Classification Works

When you run an emergency roll, Orah builds the participant list based on the roles and account types assigned to each person in the system. People with a staff role appear in the staff section; people with a student role appear in the student section.

If a person has both a staff account and a student account — or if their SIS data sends conflicting role information — Orah may classify them incorrectly.

Common Cause: Dual Accounts

The most frequent cause of misclassification is a person who has both a staff account and a student account in Orah — for example, a staff member who was previously a student at the same school. If the old student record is still active, they may appear in the student list or in both lists.

Fix:

  1. Check whether the person has two accounts in Orah (one staff, one student)

  2. If an old student record exists for them, open that student's profile and deactivate the student from there

  3. Confirm the result under Students → Student Database → Deactivated — this view lists students who have already been deactivated, it is not where you deactivate one

  4. Run a test emergency roll to confirm they now appear correctly in the staff list

Common Cause: A Student Holding a Parent Account

Another common cause — and one that cannot be fixed from the Admin Console — is a student who is also holding a parent account. This usually happens because the student was listed as a sibling or as a contact on another student's record, which created a parent-type account under their name. The student then appears in the wrong list on an emergency roll, or appears twice.

The unwanted parent account has to be removed by Orah support. Contact Orah support with the student's name and, if you know it, the other student's record where they were listed as a sibling or contact.

⚠️ Warning: do not use Merge Students to fix this. Siblings are not duplicate records, and a merge is irreversible. Merging two sibling records combines their history, passes and contacts into one and cannot be undone. If you are unsure whether two records are genuinely the same person, contact Orah support before merging anything.

Common Cause: SIS Sending Incorrect Role Data

If your SIS has a person marked with a student-type role rather than a staff role, Orah will import that classification. Check the person's record in your SIS and confirm their role is set correctly. If the SIS data is correct but the issue persists in Orah, contact Orah support for investigation.

Verifying Your Emergency Roll Setup

We recommend running a test drill periodically — not only for practice, but to verify that the participant list is accurate before it matters in a real situation:

  1. Go to Emergency Roll in Orah

  2. Run a test drill

  3. Review the Staff and Students lists for anyone appearing in the wrong section

  4. Investigate the account setup for any misclassified individuals using the steps above

Accessing Emergency Roll History and Notes

After an emergency roll is completed, the record and any notes taken during the roll are saved. To access them:

  1. Navigate to Emergency Roll → History

  2. Select the relevant drill or event

  3. Review the record or download a CSV for the full detail including notes

If you have difficulty locating notes from a completed roll, contact Orah support — they can help locate the record.

An Old Roll Is Stuck Under "Rolls in Progress"

An old or orphaned emergency roll that still shows under "Rolls in progress" and cannot be completed from the app has to be cleared by Orah support from the backend. Contact Orah support with the roll name and the date it was started. Leaving it there does not prevent you from starting a new emergency roll.

Staff Not Appearing in Emergency Roll At All

If a staff member does not appear in the emergency roll:

  • Confirm they have an active Orah staff account

  • Check that their role has emergency roll visibility enabled

  • Verify they are not marked as inactive in Orah or in your SIS

Note that appearing on the roll and being able to act on it are two different things — staff who are not collaborators on the roll type will receive the alert but will have no button to mark themselves safe. See Emergency Rolls.

When to Contact Support

  • A student is holding a parent account because they were listed as a sibling or contact on another student's record

  • A person is misclassified despite having only one account type in Orah and correct data in the SIS

  • Multiple staff members are misclassified

  • An emergency roll is stuck under "Rolls in progress"

  • You cannot locate emergency roll notes or history after a completed drill

  • You would like help auditing your emergency roll setup
