Overview
Emergency rolls in Orah classify every person in the system as either a student or a staff member to ensure accurate accountability during drills and real emergencies. Occasionally a person may appear in the wrong list, or a staff member may not appear at all. This article explains the common causes and how to resolve them.
How Emergency Roll Classification Works
When you run an emergency roll, Orah builds the participant list based on the roles and account types assigned to each person in the system. People with a staff role appear in the staff section; people with a student role appear in the student section.
If a person has both a staff account and a student account — or if their SIS data sends conflicting role information — Orah may classify them incorrectly.
Common Cause: Dual Accounts
The most frequent cause of misclassification is a person who has both a staff account and a student account in Orah — for example, a staff member who was previously a student at the same school. If the old student record is still active, they may appear in the student list or in both lists.
Fix:
Check whether the person has two accounts in Orah (one staff, one student)
If a student record exists for them, deactivate or archive it via Students → Student Database → Deactivated
Run a test emergency roll to confirm they now appear correctly in the staff list
Common Cause: SIS Sending Incorrect Role Data
If your SIS has a person marked with a student-type role rather than a staff role, Orah will import that classification. Check the person's record in your SIS and confirm their role is set correctly. If the SIS data is correct but the issue persists in Orah, contact Orah support for investigation.
Verifying Your Emergency Roll Setup
We recommend running a test drill periodically — not only for practice, but to verify that the participant list is accurate before it matters in a real situation:
Go to Emergency Roll in Orah
Run a test drill
Review the Staff and Students lists for anyone appearing in the wrong section
Investigate the account setup for any misclassified individuals using the steps above
Accessing Emergency Roll History and Notes
After an emergency roll is completed, the record and any notes taken during the roll are saved. To access them:
Navigate to Emergency Roll → History
Select the relevant drill or event
Review the record or download a CSV for the full detail including notes
If you have difficulty locating notes from a completed roll, contact Orah support — they can help locate the record.
Staff Not Appearing in Emergency Roll At All
If a staff member does not appear in the emergency roll:
Confirm they have an active Orah staff account
Check that their role has emergency roll visibility enabled
Verify they are not marked as inactive in Orah or in your SIS
When to Contact Support
A person is misclassified despite having only one account type in Orah and correct data in the SIS
Multiple staff members are misclassified
You cannot locate emergency roll notes or history after a completed drill
You would like help auditing your emergency roll setup
