Automatically Ending an Event Pass When Students Return to Campus

Have a student's event pass end and their location update automatically when they return — using whichever check-in method your school already has set up at that location.

When a student returns from an event, you can have their event pass end and their location update back to campus automatically — no manual location change or return roll needed.

This isn't tied to one specific method. Any check-in method you already have enabled at the return location can be used to end the pass, since ending the pass and updating location happen together as one action.

Options for ending the pass on return

  • NFC Checkpoint: student taps an NFC tag connected to the location.

  • Kiosk Checkpoint: student checks in via an iPad Checkpoint at the location.

  • Student App: student manually updates their location to the return location from their app.

  • Staff App: a staff member checks the student into the location on their behalf.

Any of these will end the event pass and set the student's location to that location in one action, as long as the pass type's Workflow allows it.

Setting it up

  1. In Location Manager, open the location students should return to (e.g. Main Campus).

  2. Under Check-In Methods, toggle on whichever methods you want to allow — Staff App, Student App, NFC Checkpoints, and/or Kiosk Checkpoint.

  3. If you're using NFC or a Kiosk, connect your physical NFC tag or kiosk to this location.

  4. On the event pass type, go to the Workflow step, and under "who can end this pass," allow the roles and methods you want — for example, Students via NFC Checkpoint, Kiosk, or Student App, or Staff directly.

See NFC Checkpoints and Customizing a Pass Workflow for more on these settings, and Understanding interactive zones and locations for how passes connect to locations and check-in methods.

This applies to events already underway

Workflow changes take effect immediately, including for events that are already running. You don't need to wait for a new event to turn this on.

Taking attendance at the event itself

This article covers the return leg only. For starting an event roll check, marking students present, late, or absent, and the automatic class excusal that comes with it, see Taking Attendance at an Event, which includes a video walkthrough: Featurebase video.
